This policy describes how Lone Wolf Real Estate Technologies, Inc., and its affiliates (“we”, “us”, or “our”) collects, uses, and discloses personal information (defined below) in connection with our suite of real estate and business solutions and services, including the websites (“Sites”) and mobile applications (“Apps”) (collectively, the “Services”) that link to this privacy policy, and in connection with recruitment and pre-employment activities. This Privacy Policy also applies to Personal Information that we collect via offline means, such as during interactions with our corporate suppliers and clients, via trade shows or other offline interactions, where applicable. Our privacy practices with respect to Personal Information about our employees and contractors, past and present, are addressed through other internal company policies and procedures, and are outside the scope of this Privacy Policy. This Privacy Policy also tells you about your rights and choices with respect to your personal information, and how you can reach us to get answers to your questions.

When we receive information for our own purposes, such as the contact or billing information of our clients this Privacy Policy applies. WHEN WE RECEIVE OR PROCESS INFORMATION ON BEHALF OF ONE OF OUR CLIENTS, THE PRIVACY PRACTICES THAT APPLY TO THE PROCESSING OF THAT INFORMATION IS GOVERNED BY OUR CLIENT’S PRIVACY POLICY.

Types of Information We Collect

The types of personal information we collect about you depends on how you interact with us offline and on our Sites and Apps. “Personal information” refers to information that identifies, relates to, describes, or can be associated with you. The following provides examples of the type of information that we collect, and have collected in the preceding 12 months, for our purposes and how we use that information.

Customer Relationship Management/Service Use History We collect certain basic identifying, contact, and related business information (name, email address, professional contact information) when you or your organization obtains products or services from us. We also use such information to administer and maintain our relationship with your organization. In some instances, we may collect certain background or screening information to the extent needed and in accordance with applicable law. We have an interest in providing products and services to our customers and performing our contract with your organization.
Supplier Relationship Management We collect certain basic identifying, contact, and related business information (name, email address, professional contact information) when you or your organization provides us with certain products or services. We also use such information to administer and maintain our relationship with your organization. In some instances, we may collect certain background or screening information to the extent needed and in accordance with applicable law. We have an interest in administering our relationship with our suppliers and performing our contract with your organization.
Cookies and First Party Tracking We use cookies, web beacons, clear GIF, pixels, internet tags, and other similar tracking technologies to monitor how you interact with our Sites and Apps. This may include which links you click on or identifying information about your device or browser. See our Cookies and Similar Tracking Technologies section below for more information. We have an interest in making our Sites and Apps operate efficiently, providing account related functionalities, understanding how you interact with our Sites and Apps to better improve them, and maintaining security standards. We also have an interest in detecting and preventing fraud.
Cookies and Third Party Tracking We collect information about your internet activity so that we can provide advertising about products and services tailored to your interests on our Sites, or on other websites. See our Cookies and Similar Tracking Technologies section below for more information. We have an interest in engaging in behavior-based advertising, improving our service performance, and capturing website analytics. You can manage your preferences via our Cookie Preference Center.
Events, Tradeshows, Webinars, & Conferences We collect basic identifying and contact information from you such as your name, email address, memberships/affiliations, and employer when you sign up for and/or attend an in-person event, conference, or webinar. We may also collect information about your participation un webinars, including questions asked, polls answered, and interactions with the webinar content. We have an interest in engaging with prospective clients and business partners, and communicating with them about our services, promotions, and events we sponsor or co-sponsor.
Email Interconnectivity If you receive email from us, we use certain tools to capture data related to when you open our message, and otherwise engage with the message. We use this information to understand how you interact with our communications to you.
Feedback/Support If you provide us feedback or contact us for support, including via the Live Chat feature, we will collect your name and e-mail address, as well as any other content that you send to us (e.g. phone number, affiliated organization, etc.), in order to reply. We use this information in order to properly identify and authenticate your account, and to receive, and act upon, your feedback or issues.
Geolocation Information We may collect information about the location from which you are accessing our Apps. For more information relating to the use of such tools, review our Cookies and Similar Tracking Technologies section below. We use this information about your geolocation to provide our Services and information specific to those available in your location, as well as to provide our website. In some contexts our use is also based upon your consent to provide us with geolocation information.
Mailing List When you sign-up for one of our mailing lists, we collect your email address, phone number and/or postal address. We use this information to share information about our Services with you and otherwise providing you with marketing or promotional materials.
Mobile Devices We collect information from your mobile device such as unique identifying information broadcast from your device. We use this information to identify (and, in some instances, authenticate) unique visitors and understand how users interact with us on their mobile devices.
Mailers We collect basic identifying and contact information such as your name, email address, mailing address, and company (optional) for distribution of mailers. We may use this information to deliver mailers.
Billing We collect basic identifying and contact information such as your name, employer, billing address, e-mail address, phone number, and payment information when you order our Services. We use your information to perform our contract to provide you with products or services.
Applicant Information For visitors who apply for employment through third-party websites, we may collect information about you, such as your personal identifiers and demographic information such as name, location, prior employment history, references, and/or curriculum vitae. We use this information to consider applicants for employment, manage on-boarding procedures, administer and improve our recruitment processes, and to comply with our obligations and rights, and those of the applicants, in the fields of employment and social security.
Applicant Sensitive (special) Personal Information Where permitted and in accordance with applicable law, we may collect special categories of data such as your social security number, driver’s license number, racial or ethnic origin, health and medical information (including where required, drug screening results), sexual orientation, and/or criminal history. We use this information to evaluate our progress in achieving its diversity hiring goals, to ensure equal opportunity monitoring and reporting, to meet legal obligations, including providing workforce accommodations and for disability and workplace safety tracking administration. In many instances, the provision of the Applicant Sensitive (special) Personal Information listed above is voluntary. We will let you know when that is the case, and if you decide not to share these with us, not doing so will not impact your application.
Partner Promotion We collect information that you provide as part of a co-branded promotion with another company. We use this information to fulfil our promotions.
Partner Integration When you elect to integrate our Services with authorized integration partners (e.g. Google), we collect and share information about your account and initiated activities with the authorized integration partner. We access the user’s authorized Google or third party email, contact and calendar accounts. We use this information to manage email interactions with contacts, calendaring events and communications within our Services and Apps.
Ratings and Reviews When you rate or review us or our products, we collect any information you provide as part of that rating or review. We use this information to improve and provide feedback on products.
Surveys When you participate in a survey we collect information that you provide through the survey. If the survey is provided by a third party service provider, the third party’s privacy policy applies to the collection, use, and disclosure of your information. We use this information to understand your opinions and collect information relevant to our organization.
Sweepstakes or Contests When you participate in a sweepstakes or contest we collect information about you which includes contact information to notify you if you are selected. We use this information to operate the sweepstakes. In some contexts, we are also required by law to collect information about those that enter into our sweepstakes. By participating, you are automatically enrolled in our mailing lists.
Website Interactions We use technology to monitor how you access and interact with our Sites. This may include which links you click on, or information that you type into our online forms. This may also include information about your device or browser. We use this information to understand how you interact with our Sites to better improve it, and to understand your preferences and interests in order to select offerings that you might find most useful. We also have a legitimate interest in detecting and preventing fraud.
Web Logs We collect information, including your browser type, operating system, Internet Protocol (IP) address (a number that is automatically assigned to a computer when the Internet is used), domain name, click-activity, referring website, and/or a date/time stamp for visitors. We use this information to monitor our networks and understand behavior patterns of visitors to our websites. This allows us to improve our browse and shopping experiences.

Types of Information We Collect on Behalf of Our Clients

Our customers are almost always real estate agents and brokers who desire to use our services and subscribe to one or more of our Sites and Apps. The Sites and Apps also often involve the collection of personal information from clients of our customers (“Clients”), and individuals participating in a real estate transaction (or potential real estate transaction) (“Participants”), or persons interacting with our electronic signature services solely for the purpose of executing documents electronically (“Signatories”). Clients, Participants, and Signatories are not our customers. We refer to information received by our customers from their Clients, Participants, and Signatories as “Client Information.”

We limit the collection of personal and public information of Clients, Participants, and Signatories to what is required to accomplish our Services. As a service provider and data processor serving at the instruction of our customers, we process the following types of personal information about the clients of our customers through the Sites and Apps, including but not limited to:

  • Basic identifying information, such as name, address, telephone number, email address, and other personal information.
  • Information relating to relating to real estate owned, rented, leased or listed by a client, including valuation and comparative market analysis.
  • Financial information, listing information, offers and transactional information, signatory information and the content of documents shared electronically through our Services.
  • We may collect information about clients’ interaction with our Sites and Apps such as computer browser type, pages visited, Internet and network activity, average time spent on our Sites and Apps, IP address, unique identifier of the device, operating system version, and app version.

We may request or receive other personal information such as feedback, questions, comments, suggestions, or ideas from clients to provide customers with other benefits or to improve upon the Services. In such instances, clients are given the opportunity to provide or decline that information. Unless specifically stated otherwise in this Privacy Policy or in a separate disclosure, we process all Client Information as a processor on behalf of our customer (and its affiliates), who is the controller of the Client Information. We are not responsible for and have no control over the privacy and data security practices of our customers, which may differ from those explained in this Privacy Policy.

If your data has been submitted to us in our role as a processor by or on behalf of a customer and you wish to exercise any rights you may have under applicable data protection laws, please inquire with them directly. If you wish to make your request directly to us, please provide us the name of the Lone Wolf customer who submitted your data to us. We will refer your request to that customer, and will support them as needed in responding to your request within a reasonable timeframe.

We also collect information regarding real estate ownership from multiple listing services and use that to provide our services. Multiple listing services have their own privacy and information collection practices and security measures.

Sources of Information

We collect your personal information in the following ways, pursuant to applicable law:

  • Directly From You, when you visit our Sites and Apps, register for an account, contact us, respond to a survey, purchase Services, sign up to receive emails, text messages, and/or postal mailings.
  • Through Our Use of Cookies and Other Automatic Data Collection Technologies, when you visit our Sites, use our Apps, open or click on emails we send you, or interact with our advertisements. We or third parties we work with automatically collect certain information using technologies such as cookies, web beacons, clear GIF, pixels, internet tags, web server logs, and other data collection tools.   • From Our Third Party Partners, including Customer organizations and from third parties that we have partnered with to provide you the Services that you have requested from us.
  • Other Sources, including data analytics providers, the third parties sponsoring your access to our Services (including but not limited to the Multiple Listing Service, your local board of realtors, or your brokerage firm), business partners, our affiliates, or publicly available sources.

Use and Processing of Personal Information

In addition to the purposes and uses described above, we generally collect and use your Personal Information to fulfill our business operations and provide the requested Services to you, such as:

  • To identify you when you visit our Sites and Apps.
  • To provide products and services.
  • To improve our services and product offerings.
  • To streamline the shipment process.
  • To conduct analytics.
  • To respond to inquiries related to support, employment opportunities, or other requests.
  • To send marketing and promotional materials, including information relating to our products, services, or promotions.
  • To administer, maintain, evaluate, and improve our websites, and services, and to develop new products and services.
  • To conduct research and analytics related to our websites and services, or industry analytics, including combining any or all of the information that we collect or obtain.
  • To process billing, tax, payment and collection activities.
  • For internal administrative purposes, to manage our business operations, to perform our obligations and exercise our rights under any agreement that you or your organization has with us.
  • To comply with applicable laws, legal obligations, and/or protect our legal interests and rights.
  • To detect, investigate, prevent, or take action regarding possible malicious, deceptive, fraudulent, or illegal activity, including fraudulent transactions, attempts to manipulate or violate our policies, procedures, and terms and conditions, security incidents, and harm to the rights, property, or safety of Lone Wolf and our customers, employees, or others.

Although the sections above describe our primary purpose in collecting your information, in many situations we have more than one purpose. For example, if you retain us to provide residential real estate solutions and services we may collect your information to perform our contract with you, but we also collect your information because we have a legitimate interest in understanding market conditions, who our customers are and what services we perform on their behalf.

Cookies and Similar Tracking Technologies

Every time you come to the website, our website’s web server automatically collects information, including, in some instances, personal information, through cookies, web beacons, and other similar tracking technologies (collectively “cookies”). Cookies are small text files that are placed on your computer or mobile device when you visit a website or access one of our Apps. Cookies help the website and/or App remember information about your visit, which can make it easier to visit the website again and make the site more useful to you. Some cookies are deleted once you close your browser (session cookies), while other cookies are retained even after you close your browser so that you can be recognized when you return to a website (persistent cookies). Essential Cookies Essential cookies are cookies that our website needs in order to function and that enable you to move around and use the website and features. Without these essential cookies, the website will not perform as smoothly for you as we would like it to, and we may not be able to provide the website or certain services or features you request. Analytics Cookies Analytics cookies provide us with information regarding how visitors navigate and interact with our website. The information that is collected and shared by these types of cookies may also be linked to the device identifier of the device you are using to allow us to keep track of all the websites you have visited that are associated with the ad network. This information may be used for the purpose of targeting advertisements on our website and third party sites based on those interests.

We may use the information collected through cookies and related tracking technologies for the following purposes:

  • To make our Sites and Apps easier to use and generally improve its performance.
  • To gather metrics about how you interact with our Sites and Apps.
  • For security reasons.
  • To provide personalized content. For example, we may store user preferences, your default language, device and browser information, your profile information, which includes the level of your usage of the website, which you visit, so we can identify you across devices and personalize the content you see.

Disclosing of Information

In addition to the specific situations discussed elsewhere in this policy, we disclose personal information for business or commercial purposes in the following situations. Please note that because this list is comprehensive it may refer to types of information that we disclose about other users.

  • Affiliates and Acquisitions. We may disclose information with our corporate affiliates (e.g., parent company, sister companies, subsidiaries, joint ventures, or other companies under common control). If another company acquires, or plans to acquire, our company, business, or our assets, we will also disclose information with that company, including at the negotiation stage.
  • Other Disclosures with Your Consent. We may ask if you would like us to disclose your information with other unaffiliated third parties who are not described elsewhere in this Policy.
  • Compliance with Law or Other Legal Process. We may disclose information (including Client Information) in response to subpoenas, warrants, or court orders, or in connection with any legal process, or to comply with relevant laws. We may also disclose your information in order to establish or exercise our rights, to defend against a legal claim, to investigate, prevent, or take action regarding possible illegal activities, suspected fraud, safety of person or property, or a violation of our policies, or to comply with your request for the provision of services by a third party intermediary.
  • Public Forums. Our Sites and Apps may provide the opportunity to post comments, or reviews, in a public forum. If you decide to submit information on these pages, that information may be publicly available.
  • Partner Promotion. We may offer contests, sweepstakes, or other promotions with third party partners. If you decide to enter a contest, sweepstakes, or promotion that is sponsored by a third party partner the information that you provide will be disclosed to us and with them. Their use of your information is not governed by this Privacy Policy.
  • Service Providers. We disclose your information with service providers. Among other things service providers may help us to administer our Sites and Apps, collect data for analysis purposes, conduct surveys, provide technical support, and process payments.
  • Our Third-Party Partners. We obtain information from, and may share information with, third parties that we have partnered with for marketing, or other, purposes.
  • Integration Partners. If you elect to link or integrate our Services with authorized integration partners (e.g. Google), we collect and share information about your account and initiated activities with the authorized integration partner. For example, if you elect to integrate your Relationships account with Google’s Gmail, Maps, Contacts and/or Calendar applications, we may access and share information with Google to allow you to manage your email communications, calendar or contacts within our Services.
  • Social Media Platforms and Networks. Our Sites and Apps may feature plugins, widgets, or and other tools made available by third parties that may result in information being collected or shared between us and the third party. For example, if you use Facebook’s “Like” feature, Facebook may register the fact that you “liked” a page and may post that information on Facebook. Their use of your information is not governed by this Privacy Policy.
  • De-identified Personal Information. We may disclose or use aggregated or de-identified data for any lawful purpose. De-identified information is generally not considered to be Personal Information under applicable laws.

Data Retention

We retain information about you and your relationship with us for as long as is needed to fulfill our business purposes outlined in this Privacy Policy. The specific periods for which we keep information about you vary depending on the nature of the information, why we need it, and whether the personal information is de-identified. We also consider the minimum necessary retention period prescribed by applicable laws, recommended by industry standards, and stated in contracts and other legal obligations.

Your Rights & Choices

Depending on your location, you may have the following rights with regard to your personal information:

  • Access to Your Personal Information. You have the right to request access to the personal information we hold about you, along with other information such as the purposes of the processing, the recipients or categories of recipients to whom the personal information has been or will be disclosed, the sources of the personal information, retention, and transfers of personal information. Where required by law, we may transfer a machine-readable copy of your personal information to you or a third party of your choice.
  • Deletion of Your Personal Information. Typically we retain your personal information for the period necessary to fulfill the purposes outlined in this policy, unless a longer retention period is required or permitted by law. You may, however, request that we delete your personal information by following the process described below. If required by law, we will grant your request to delete information. However, when we delete personal information it will be removed from our active database, but it may remain in archives where it is not practical or possible to delete it. In addition, we may keep your personal information as needed to comply with our legal and compliance obligations, resolve disputes, and/or enforce any of our agreements.
  • Online Tracking. An opt-out preference signal is a signal that is sent by a platform, technology or mechanism on your behalf that communicates your choice to opt-out of the sharing for targeted advertisements or sale of your Personal Data. You can learn more about implementing opt-out preference signals by visiting, globalprivacycontrol.org, or by exploring other developing technologies and services that offer this tool. We treat commercially recognized opt-out preference signals as valid requests to opt-out of targeted advertising. Recognition of this signal will only take place with respect to the device and/or browser that communicates the signal.
  • Promotional Emails. We send free newsletters, surveys, offers, and other promotional materials to you, as well as occasional targeted offers from third parties. You are automatically subscribed to these emails when you make a purchase or account with us. You can stop receiving promotional emails by following the unsubscribe instructions in e-mails that you receive. If you decide not to receive promotional emails, we may still send you service related communications.
  • Ground Mailings. If at any time you do not want to receive offers and/or circulars from us you can remove yourself from our mailing lists by emailing us (our contact information is below) with “NO GROUND MAIL” in the subject line along with your name, and address. Please note that our mailings are prepared in advance of their being sent. Although we will remove your name from our mailing list after receiving your request, you may still receive mailings from us that had been initiated prior to your name being removed.
  • Promotional Text Messages. If you receive a text message from us that contains promotional information you can opt-out of receiving future text messages by replying “STOP.”
  • Opt Out of the “Sale” or “Sharing” of Personal Information: Our use of cookies or other tracking technologies is deemed a “sale” or “sharing” under California law (in this context “sharing” means cross contextual behavioral advertising) of personal information. As such, you can opt out of our use of tracking technologies and cookies by clicking the “Do Not Sell or Share My Personal Information” button at the bottom of our websites.
    • The following categories of personal information disclosed are considered “sale”/ “sharing” under California law: direct identifiers, device information, and geolocation data.
    • The following categories of third parties to whom personal information was disclosed are considered “sale”/ “sharing” under California law: social media platforms and ad networks.
  • Restriction of processing of Sensitive Personal Information: You have the right to request the restriction of processing of your sensitive personal information. Where applicable, the respective sensitive personal information will be marked accordingly and may only be processed by us for certain purposes. At the current time, however, we do not use or disclose sensitive personal information for purposes other than those expressed in this Policy or otherwise permitted by applicable law, and these uses cannot be limited under California law.
  • Automated Processing: Under certain circumstances, you have the right to object to a significant decision based solely on automated processing (i.e., without human intervention) unless that decision is required or authorized by law.
  • Right of Non-Discrimination/Retaliation: We do not discriminate against individuals who exercise any of their rights described in this Privacy Policy, nor do we retaliate against individuals who exercise these rights.

Please note that many of the above rights are subject to exceptions and limitations. Your rights and our responses will vary based on the circumstances of the request. If you choose to assert any of these rights under applicable law, we will respond within the time period prescribed by such law.

In the State of California, a person authorized to act on your behalf may make a verifiable request related to your personal information. If you designate an authorized person to submit requests to exercise certain privacy rights on your behalf, we will require verification that you provided the authorized agent permission to make a request on your behalf. In any circumstance, your request must: (i) provide sufficient information that allows us to reasonably verify that you are the person about whom we collected Personal Information or an authorized representative of that person; and (ii) describe the request with sufficient detail that allows us to properly understand, evaluate, and respond to it. We will only use personal information provided in a verifiable consumer request to verify the requestor’s identity or authority to make the request.

How We Protect Personal Information

No method of transmission over the Internet, or method of electronic storage, is perfectly secure. While we use reasonable efforts designed to protect your personal information from unauthorized access, use, or disclosure, we cannot guarantee the security of your personal information. In the event that we are required by law to inform you of a breach to your personal information we may notify you electronically, in writing, or by telephone, if permitted to do so by law.

Some of our websites and mobile applications may permit you to create an account. When you do you will be prompted to create a password. You are responsible for maintaining the confidentiality of your password, and you are responsible for any access to or use of your account by someone else that has obtained your password, whether or not such access or use has been authorized by you. You should notify us of any unauthorized use of your password or account by using one of the methods listed below under “Contact Information."

Other Important Information

The following additional information relates to our privacy practices:

  • Third Party Applications/Websites. Our Sites may include links to websites or applications that are owned or operated by third parties. Please note that any personal information that you provide to such third parties or direct us to provide to such third parties on your behalf will be governed by their privacy policies, and we have no control over or responsibility for their privacy practices. We encourage you to review the privacy policies of any third-party website or application for details about what information is collected and how it is used and/or disclosed prior to providing any personal information.
  • Changes to This Privacy Policy. We may change our Privacy Policy and practices over time. Our Privacy Policy includes an “effective” and “last updated” date. The effective date refers to the date that the current version took effect. The last updated date refers to the date that the current version was last substantively modified.
  • Information for California Residents. If you would like more information concerning the categories of personal information (if any) we disclose with third parties or affiliates for those parties to use for direct marketing please submit a written request to us using the information in the “Contact Information” section below.
  • Children’s Privacy. We will not knowingly collect any personally identifiable information from children under the age of 16 and our websites and our services are not directed to children under the age of 16. If a child under 16 submits personal information to us and we learn that the information is from a child under 16, we will attempt to delete the information as soon as possible. In addition, we do not knowingly sell the personal information of minors under 16 years of age.
